January is a time for making resolutions for the new year. Your place of business likely has old files, equipment, and furniture that needs to be replaced. This January, make it a point to get rid of the old and embrace the new. Why not start with your filing cabinet?

The Files

Your filing cabinet in your office is likely full of documents that you no longer need. Most states follow the standard of maintaining documents for seven to ten years after the end of the contract or assignment. This year, take the time to organize your filing cabinets. Take inventory of which documents you have and where you have them. Then, purge the documents you no longer need. Scan documents to an external hard drive for safe keeping, prior to destroying the originals. Finally, label each cabinet with its contents for easy access when a document is required. It may be helpful to also use this same process to clear desks and other storage areas within your office.

The Hardware

If your filing cabinets have not been organized recently, it is likely you have not changed your locks in many years. Yet surely you have had employees come and go. Maybe you have even lost keys for a particular filing cabinet and never had them replaced, forgetting about it and its contents. The new year is the perfect time to change your locks and replace lost keys. The process is easy, and the peace of mind that comes from having new locks and keys for your important document holders is priceless.
